More Than That
Internal communications takes the whole team to really be effective. Great internal communications involves these steps: Information collection, planning, communications development, dissemination AND feedback.
I think the most important steps here are the first and last steps, collection and feedback.
Collection: Let team members stay in their lane and contribute in their lane. Not everyone is expected to know everything, but chances are department leaders know what is relevant to other departments. They might just not have a mechanism to share this information efficiently (and I do NOT mean adding another meeting).
Providing an efficient and regularly requested communications collection mechanism can take the headache out of planned internal communications. When asked to disseminate information, ask about the urgency. Does this need to go out in the next 12 hours or can it wait until next week's internal newsletter? It's never productive when information is not shared with the same urgency of the content.
Feedback: We all know about feedback loops. Feedback is a form of critical communication in the workforce. But what about feedback about communication? This gets pretty meta, but nevertheless it can lead to one awesome factor - team members will actually read org-wide communications.
If our team members feel like they have a say and they see requested changes being made, they are more likely to engage with all of it. It is even OK to open with “we've received feedback that XYZ, so we are doing ABC.” This acknowledges the engagement of your team members and shows feedback in action.
so . . .
When our team members contribute from information collection to providing feedback, we see internal communications improve. Implementing an information flow like the steps above will lead to better communication overall. Acknowledging where we fall short in communications is a great first step, and it looks like 67% of executives agree that communications is an issue. The great news - it can be improved with clear expectations, continuous information sharing, consistent content, and constant feedback (couldn't resist the C's).
